Who we are

RunThrough Europe is a trading name of GW Active Ltd, Unit 101/102 Image Court, 328-334 Molesey Road, Walton-on-Thames, Surrey, KT12 3PD, United Kingdom. GW Active Ltd is the controller of the personal data described in this policy. RunThrough Europe organises running events in Germany, Spain, France, Switzerland and Italy and is part of RunThrough, one of the world’s largest running events organisers. This policy explains what personal data we collect, how we use it and the rights you have under the UK GDPR, the EU GDPR and the Swiss Federal Act on Data Protection, which apply because we offer events to people in those countries.

Data we collect

• Race entries: name, email address, phone number, date of birth, gender, nationality where the event requires it, emergency contact and any medical details, medical certificate or licence you provide, collected by our entry partner Let’s Do This when you register.
• Newsletter sign-ups: your name and email address.
• Payments: processed by our third-party payment providers. We never see or store your full card details.
• Website usage: pages visited, device and browser information, collected only with your consent through analytics cookies.
• Race day: your bib number, chip-timed results, your position on the course where a tracking device is issued, and photographs taken on the course.

Why we use it and our lawful bases

• To process your entry and deliver the event you signed up for (performance of a contract).
• To send you race information before, during and after the event (performance of a contract).
• To keep you safe on the course, including sharing medical details with our medical and rescue providers (vital interests and, for health data, your explicit consent given at entry).
• To publish results and race photographs (legitimate interests, and consent where the law of the event country requires it).
• To send marketing about future events, only where you have opted in (consent).
• To improve our website and events (legitimate interests, and consent for analytics cookies).
• To meet our legal, permit and insurance obligations (legal obligation).

Who we share it with

We share data only where it is needed to deliver the event: our entry and timing platforms, local co-organisers in the event country, email and payment providers, and medical, rescue and safety partners on race day. RunThrough Europe is part of the GW Active Ltd group, and your details may be shared with other RunThrough brands where that is necessary to run the event or support you. We do not sell your personal data.

International transfers

GW Active Ltd is based in the United Kingdom, which the European Commission and Switzerland recognise as providing adequate protection for personal data. Some of our providers store data in the United States; where data leaves the UK, the EEA or Switzerland we rely on adequacy decisions or standard contractual clauses with those providers.

How long we keep it

• Entry data: up to seven years, to meet legal and insurance requirements.
• Medical certificates and health details: until the event has finished and any claim period has passed, then deleted.
• Marketing contacts: until you unsubscribe.
• Analytics data: a maximum of 26 months.

Your rights

You can ask us to access, correct, delete or export the personal data we hold about you, to restrict or object to its processing, and you can withdraw consent at any time without affecting what was done before. Email info@runthrough.co.uk and we will respond within one month.

Complaints

If you believe we have mishandled your personal data, contact us first and we will investigate and reply within one month. You also have the right to complain to the Information Commissioner’s Office in the UK (ico.org.uk), to the data protection authority of the EU country where you live or where the event took place, or to the Swiss Federal Data Protection and Information Commissioner.
